Texas CryoEM Consortium Policies

  1. Consortium members should only book time if one of their autoloader-equipped cryo-TEM instruments is down.

  2. Each institution shall make 48 hours of 300kV microscope time, and 48 hours of 200kV microscope time available per calendar month to external members of the consortium. Institutions may make more time available for TCC members at their own discretion.

  3. Bookings will not be bumped to prioritize local users in cases where a local instrument is/goes down. TCC bookings lost due to instrument downtime will still count as the host institution’s contribution to the pool.

  4. Each institution can book no more than 72hrs of 300kV time, and 72 hours of 200kV time. Sessions can be booked no more than one month in advance. If TCC time is available less than one week prior to a given session, the time can be booked in excess of the 72 hour limit.

  5. Unbooked TCC time will be released to the host institution’s booking system 3 days ahead of time at 9:00 AM CST.

  6. All bookings are 24 hours. Dates made available are at the discretion of the host facility. We would prefer that institutions coordinate for a relatively even distribution of days over the month. Days should be regularly scheduled to facilitate automated generation of a calendar.

  7. Rates are subject to the institutional policy regarding internal/external users.

    One of the goals of the TCC is to foster discussions of an MOU on internal pricing for all TCC members.

  8. Consortium to meet Monthly then Quarterly after establishment.

  9. Bookings will be made on a first come first served basis.

  10. UTSouthwestern will host a website showing available time. To book time

    1. User/manager checks TCC schedule to ensure availability.

    2. Designated contact (Facility manager/director) at home institution will contact the designated contact at the away institution they would like to book at.

    3. Time is booked on the schedule of the away institution.

    4. An email is sent to the TCC group email address listing the lab, institution, and date of the booking.

    5. Website will be updated to show the slot has been booked.

  11. Data transfer will utilize free storage space on TACC at UT Austin.

  12. In-person TCC meeting to be held at the Annual Texas CryoEM Symposium.

  13. TCC policy can be amended with an in-meeting proposal and post-meeting survey vote (1 vote per participating institution).

  14. Each participant institution should have at least one member present at each meeting.
